How do I issue a credit note?

Open the invoice in the Invoices section and use the refund action there. That's how you issue a credit note — you don't fill out a separate form for it; Nassima creates the credit note for you as part of processing the refund.

A credit note reduces what a customer owes: refunds, returns, and price corrections all go through one. A debit note is the reverse — it adds a charge on top of what's already invoiced. Both stay linked to the original invoice they came from, and both are numbered automatically. See Automatic invoice numbering for how that numbering works.

To process a refund, Nassima needs:

  • The original invoice
  • A reason for the refund
  • The refund amount

Refunds can be full or partial. A partial refund covers a dollar amount you choose rather than crediting the whole invoice — useful when a customer only disputes part of what they were charged. That amount is entered as a single total; there's currently no way to select specific line items to refund.

Processing the refund creates the credit note and records the refund payment against the original invoice. For how receipts work, see Payment receipts.

Two things worth knowing. Refunds only work from an invoice that's already paid or completed, and only on the invoice itself — you can't refund a document that's already a credit note or debit note. And if the original invoice was paid by card through Stripe, the refund runs through Stripe first, before the local credit note is created.

You never have to build a credit note by hand — refund the invoice, and the credit note follows on its own.
